Who we are

Church Office to Go LLC ("we," "us," "our," or "COTG") is a single-member LLC registered in Iowa. We provide communications services for small Mainline Protestant churches. Our website is churchofficetogo.com.

What information we collect

Information you give us directly

When you fill out our contact form, we collect:

• Your name
• Your email address
• Your church's name
• Your church's city and state
• Your denomination
• What services you're interested in
• Anything you write in the optional notes field

If you become a paying client, we additionally collect:

• Billing information (handled by Stripe; we never see or store your full card number)
• Worship service details, announcements, and other content you submit through your Church Planner
• Photos and brand assets you share with us for use in your church's communications

Information collected automatically

Our website uses Cloudflare for hosting and basic analytics. Cloudflare may log your IP address, browser type, and pages visited. We do not use third-party advertising trackers, cookies for behavioral tracking, or social media tracking pixels.

How we use your information

We use what you give us to:

• Respond to your inquiry and discuss whether we might work together
• Deliver the services you've signed up for
• Process payments through Stripe (for paying clients)
• Send you receipts, service-related communications, and occasional product updates

We do not sell your information. We do not share your information with third parties for marketing purposes. We do not use your data to train AI models.

Who we share information with

We use a small number of vendors to operate. Your information may be processed by:

• Google Workspace — for email and document storage
• Cloudflare — for website hosting
• Web3Forms — for the contact form on our website
• Stripe — for payment processing (paying clients only)
• Buffer — for scheduling social media posts (social media clients only)

Each of these vendors has their own privacy practices. We share only what's needed for them to do their job.

How long we keep your information

We retain your information for as long as you're an active client, plus seven years after the end of our working relationship for tax and legal record-keeping. If you submitted the contact form but didn't become a client, we typically retain your information for three years in case you come back to us.

You can request deletion of your information at any time by emailing office@churchofficetogo.com. We'll honor the request unless we're legally required to retain certain records.

Your rights

You have the right to:

• Know what personal information we have about you
• Request a copy of that information
• Ask us to correct inaccurate information
• Ask us to delete your information (with the legal-retention exceptions noted above)
• Opt out of marketing communications (we send very few; you can reply "unsubscribe" to any of them)

Children

Our services are not directed at children under 13. We do not knowingly collect personal information from children. If you believe we've inadvertently collected information from a child, please contact us and we'll delete it.

Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top reflects the most recent version. Material changes (changes that affect what we collect or how we use it) will be communicated by email to active clients before they take effect.
